How to make an invoice, step by step

Quick answer

An invoice is a bill that asks your customer to pay. Write your business details, the customer's details, an invoice number and date, the items with price and tax, the total, and how to pay. Then send it as a PDF.

What is an invoice?

An invoice is a document you give to a customer after you sell goods or services. It lists what you sold, how much it costs, any tax, and when and how the customer should pay.

It is also your record of the sale. You and your customer both keep a copy for accounts and tax. In many countries, a business that is registered for GST or VAT must issue a proper tax invoice for every sale.

What to put on an invoice

Every good invoice has these parts:

  1. The word "Invoice" or "Tax Invoice" at the top.
  2. Your business name, address, phone number and email.
  3. Your tax number if you have one, such as GSTIN in India, VAT number in the UK and EU, TRN in the UAE or ABN in Australia.
  4. A unique invoice number, for example INV-1001.
  5. The invoice date, and a due date if the customer pays later.
  6. The customer's name and address, and their tax number if they are a registered business.
  7. Each item: a short description, quantity, price for one, and the line total.
  8. Tax for each item or for the whole bill, shown separately.
  9. The grand total, and in India usually the total in words as well.
  10. How to pay: bank account, UPI ID or payment link, and any payment terms.

Tip: Keep descriptions short and clear. "Cement (50 kg bag)" is better than "Material". Clear bills get paid faster and cause fewer questions.

How to make an invoice in 5 steps

  1. Add your business details once. A good invoice tool saves them for every new bill.
  2. Add the customer. Only the name is needed for a simple bill. Add the address and tax number for business customers.
  3. Add the items. Type what you sold, the quantity and the rate. Choose the tax rate for each item.
  4. Check the totals. The tool should work out tax and the grand total for you. Check the invoice number and date.
  5. Download and send. Save the invoice as a PDF and send it by email or WhatsApp, or print it.

Common mistakes to avoid

  • Using the same invoice number twice. Every invoice needs its own number.
  • Forgetting the date or the due date, so the customer does not know when to pay.
  • Adding tax when you are not registered for it, or leaving it out when you are.
  • Sending an editable Word or Excel file. A PDF looks professional and cannot be changed by mistake.
  • Not keeping a copy. Save every invoice for your accounts and tax returns.
